Contract Specialist / Customer Service - Vector Control

What do our Customer Service Representatives (CSR) do?

Our CSR’s are the first contact to help resolve customers' concerns. They are courteous, knowledgeable and empathetic to the callers’ concerns in their homes and businesses. They enjoy making a customer feel confident that their concerns will be handled promptly and professionally.

Responsibilities include, but are not limited to;

• Assist the vector team with all necessary quotations and written bids. These duties include but are not limited to tracking open bids and bid status, filling out the required quotes and or bid paperwork, working with the salesperson to determine appropriate pricing, printing / attaching all necessary documents, labels, and SDS sheets, working with the necessary corporate staff when needed (i.e. legal, h.r., etc.) when forms require additional assistance or approval, submitting quotes and bids in a timely manner, and maintaining files of each quote / bid for TSP records

• Assist the vector team with contract tracking, contract renewals, and contract pricing adjustments

• Assist in maintenance of the current bid calendar, and use said calendar to track all bid due dates for the vector team

• Assist in the creation and maintenance of a new spreadsheet intended to track national bid results across multiple customers and multiple item skus

• Assist the vector team in inputting contract pricing into sales portal when needed

• Assist the vector team in obtaining insurance certificates for customers on an as-needed basis

• Input vector control orders, and keep the vector sales staff informed of order status

• Insure that all vector orders are routed correctly, shipped timely, and provide shipping status to sales

• Track open vector orders, make sure product is ordered for these where needed, and insure that open orders are invoiced once shipments are completed

• Assist the vector sales staff as needed with various administrative tasks, including but not limited to new customer documents / submission, order and shipment tracking, TSP PO tracking, transfers, etc.

• Assist the vector sales staff with shipping arrangements for equipment as needed for any regional conferences

• The candidate will need to be cross trained in our Navision operating system

• This is primarily a virtual / remote position, with the expectation to work from the Baton
  Rouge warehouse one day per week, possibly more during the peak order season

• This position will be required to occasionally assist with staffing / training in the Baton Rouge office when this location has a staffing shortage

What do you need?

• High school diploma or GED
• Have excellent listening and communication skills
• Have a pleasant phone voice and ability to clearly speak and be understood on the phone
• Demonstrate multitasking skills to enter accurate data and type while speaking with customers
• Remain calm and able to work under pressure when busy and help other team members
• Strong attention to detail and willingness to learn
• Excellent organization and time management skills
• Available to work Monday-Friday and Saturdays as needed
• Successfully meet pre-employment background screen
